Patient Information

Frequently Asked Questions

Clear answers to help you prepare for your visits and understand clinic procedures.

How do I become a new patient at Magnolia Primary Care?

We are currently welcoming new patients who have Blue Cross Blue Shield (BCBS) primary insurance. Openings are limited to preserve dedicated appointment times. Click here to Register or Sign Up Online.

What should I bring with me to my appointment?

Please bring: (1) A valid government-issued photo ID, (2) Your current insurance card(s), (3) All medication bottles you are currently taking—including prescription drugs, over-the-counter medications, and supplements, and (4) Any relevant recent medical records or diagnostic reports.

How do prescription refills work?

All prescription refills require a 48 to 72-hour advance notice to allow our clinical staff and physician to process them. Prior authorizations required by insurance companies, holidays, or weekends may extend this window. Please note that we cannot call in new prescriptions without an office evaluation, and regular monitoring visits/blood work may be required before refilling maintenance medications.

When and how will I receive my diagnostic or lab test results?

Routine lab and in-office diagnostic results typically take 3 to 5 business days to be processed and reviewed by Dr. Rama. Specialized send-out testing (e.g., biopsies, specialized cultures) may take longer. Once reviewed, results will be communicated via phone or discussed during a visit, and promptly published to your secure Patient Portal.

Does Magnolia Primary Care manage chronic pain with controlled substances?

No. Magnolia Primary Care does not regularly provide chronic pain management services involving controlled substances or narcotics. Patients requiring long-term controlled substance treatment for chronic pain will be referred to specialized pain management practices best suited for those healthcare needs.

What options do I have for after-hours or weekend medical needs?

We offer after-hours and weekend telehealth visits for established patients with urgent concerns. These visits are billed to insurance according to your plan's telehealth coverage policies. If you suspect an acute medical emergency, please dial 911 or visit the nearest Emergency Room immediately.

Office Policies

Practice Policies & Patient Expectations

Transparent policies designed to safeguard quality of care, safety, and mutual respect.

Appointments & Cancellations

We ask that you give us adequate advance notice if you must reschedule or cancel an appointment so that another patient in need may be seen. Non-insurance covered charges apply for missed appointments and late cancellations without notice.

Preventative Care vs. Medical Concerns

Preventative visits (annual physicals and wellness exams) focus exclusively on routine screening and prevention. If new acute symptoms or existing chronic conditions are evaluated during the same visit, insurance rules require a separate service claim, which may be subject to your plan’s copays or deductibles.

Arrival & Check-In Policy

To keep appointments running on time, all check-in paperwork and intake must be fully completed no later than 5 minutes past your scheduled appointment time.

  • Standard Appointments: Please arrive 15 minutes early.
  • Medicare Annual Wellness Visits: Please arrive 30 minutes early.
  • Late Arrivals: If check-in is not completed within 5 minutes of your appointment time, your visit will be rescheduled and a $40 fee will apply.

Controlled Substances Policy

We do not prescribe chronic opioids or narcotics for long-term chronic pain management. We adhere strictly to federal and state prescribing guidelines and refer patients with specialized pain needs to designated pain clinics.

Digital & Phone Consultation Fees

Non-face-to-face medical evaluation (including patient portal messages, telephone consultations, and digital care) requires dedicated physician time and expertise. These services will be billed to insurance when covered. If your insurance does not cover digital care, a $15 fee per communication applies.

Prescription Refill Protocols

Please provide 48–72 business hours notice for all refills. Routine safety blood work and regular office follow-up visits are required to continue maintenance medications safely and responsibly.

Forms, Letters & Medical Records

Completing detailed medical forms requires dedicated physician time. FMLA forms: $100 fee. Other health forms: $20/page. Digital medical records are free through your Patient Portal; paper copies printed for personal use are $0.50/page.
