Preventative Care Visits (such as Annual Physicals or Wellness Exams) focus strictly on routine health screenings, and wellness counseling tailored to your age and health history.What happens when we address  new symptoms or chronic conditions during my preventative exam?If we evaluate new acute symptoms (such as a recent injury or illness) or manage existing chronic medical conditions during your preventative visit, insurance guidelines require us to submit a separate medical visit claim for those services alongside your routine exam.Will I have to pay out-of-pocket if additional medical issues are addressed?Depending on your health insurance plan, yes. While preventative visits are often covered at 100%, any separate medical services billed during that same appointment may trigger your standard copays, coinsurance, or deductible requirements.

Cancellation & No-Show Policy

How much notice is required to cancel or reschedule an appointment?We ask for at least 48 hours' advance notice so we can offer the time slot to another patient. Any cancellation or rescheduling request made less than 24 hours before your appointment will incur a $40 fee.What is considered a "No-Show"?A "No-Show" occurs when an appointment is missed without any prior notification. Each No-Show incident carries a $50 administrative fee.What happens if I cancel or miss multiple appointments?Consistent attendance is vital to your healthcare plan.Frequent Cancellations: Having 3 consecutive cancellations or 4 total cancellations within a single calendar year may result in discharge from the practice.Multiple No-Shows: Accumulating 2 No-Shows within 1 year will result in a temporary suspension of medical services.How do I reinstate my services after a suspension?If your account is suspended, you will receive a formal letter. To remain a patient, you must schedule a meeting with your Primary Care Physician within 30 days of the letter's date to review your care plan.Will I still be able to get my prescription medications during a suspension?Yes. We will provide a 30-day grace period for essential prescription refills while you work to schedule your physician meeting. If you do not meet with your doctor within that 30-day window, your patient status will be permanently terminated.

How can I communicate with the clinic staff or physician?

We do not return unrecorded missed calls.Physician Access: Staff will coordinate with your doctor as needed. Any request to speak directly with the physician will be scheduled and billed as a telehealth appointment.Patient Portal Messaging
Best for non-urgent tasks like medication refill requests, simple clarifications, or sharing documents (you may attach PDFs if needed).Response Time: Expect up to a 24-hour turnaround time. We perform the following rapid tests and diagnostic procedures on-site:Respiratory Tests: Rapid Strep, Rapid Influenza, Rapid COVID-19Urinalysis: Urine Dipstick, Urine Pregnancy TestRoutine Diagnostics: Hemoglobin A1c, Fecal Occult Blood TestOther Diagnostics: 12-lead EKGSpecialized Off-Site Testing: Specimens collected in our clinic requiring specialized analysis (such as respiratory pathogen panels, urine cultures, Pap tests, and specialized urine or stool tests) are sent to Core Diagnostics. For billing inquiries regarding these specific off-site tests, please contact Core Diagnostics directly at [Insert Contact Info].How do I handle blood work?Because we do not perform in-office blood draws, please follow these steps to complete your testing:Get Your Physical Lab Order: You will receive a printed lab order and instruction cover sheet during your visit. To prevent transmission errors and unnecessary delays, we do not fax orders to labs. You must bring your hard-copy order with you to the testing facility.Choose an In-Network Lab: Take your printed order to an in-network lab facility of your choice.Get Tested & Receive Results: Once completed, the testing facility will fax your results directly to our office for provider review.Important Billing & Clinical Policies:Clinical Discretion: Tests are ordered strictly based on what your physician deems medically necessary for your health needs, risk factors, and medication monitoring.Lab Billing: Outside laboratories bill you directly—our practice does not manage lab billing. Your financial coverage is subject to your specific insurance contract, copays, and deductibles. For coverage or billing questions, please coordinate directly with your insurance provider and the lab facility.What is an In-Network Lab, and why is it important?An In-Network Lab is a facility that has contracted with your insurance provider to offer services at pre-negotiated, lower rates. Insurance plans typically offer several local in-network choices.Crucial Coverage Note: Using an Out-of-Network Lab will result in an automatic denial of coverage by your insurance provider, significantly increasing your out-of-pocket costs. We strongly recommend calling your insurance company to confirm that a lab location is in-network before taking your lab order to a facility.

You will have the option to:Connect to a Telehealth Visit for urgent medical concerns that cannot wait until the next business day. Leave a Non-Urgent Message for our team to review and address on the next business day

To prioritize patient safety and deliver high-quality care, Magnolia Primary Care LLC enforces strict guidelines for prescribing stimulants, opioids, and benzodiazepines.What are the requirements for receiving ADD/ADHD stimulant prescriptions?To receive stimulant medications through our office, you must:Have a formal ADHD diagnosis and evaluation on file from a licensed psychologist or psychiatrist.Maintain ongoing psychiatric care if deemed necessary for your treatment plan.Sign and comply with our annual Controlled Substance Physician-Patient Agreement.Does the clinic prescribe opioid medications for pain management?We do not regularly prescribe opioids or narcotics. If you experience severe or chronic pain lasting longer than two (2) weeks, our office will refer you to a specialized pain management facility for evaluation and treatment.Can I receive a long-term prescription for benzodiazepines?No. We do not regularly prescribe benzodiazepines for chronic, long-term use.
